School Volunteer Approval Process
Volunteers who will be asked to supervise students outside the presence of staff must be fingerprinted. Please note that students must be directly supervised by a certificated employee during the instructional day.
Schools will refer volunteers who will be asked to supervise students outside the presence of staff to Human Resources to process the necessary paperwork, including payment of $56.00 for the cost of fingerprinting.
All other volunteers (processed by the school site)
All other volunteers may be processed and approved at the school site by completing the Volunteer Agreement/Authorization Form. This procedure must be followed for every volunteer each school year, even if the person was authorized to volunteer in previous years. The Volunteer Agreement/Authorization form must be completed before volunteers begin their service.
School site personnel (including PTA members) may process volunteers by completing the following steps.
1. Volunteer Information/Agreement form is completed by appropriate school personnel and volunteer.
2. School personnel verifies volunteer’s name and ID number, and initials form.
3. School personnel uses the Department of Justice database website to check volunteer’s status as a registered sex offender.

• Under Search By click “Name”

• The only acceptable result is “Your search returned no results.”
4. Principal must authorize the volunteer. Principals may not authorize persons to volunteer if they indicate that they have been convicted of a violent or serious felony or if they are registered sex offenders. Principal must keep volunteer forms on file at the office for the duration of the school year.
Persons who have been convicted of violent or serious felonies may not volunteer.
Tuberculosis Screening
Volunteers who will serve the entire school year and who have frequent or prolonged contact with students:
If, in the judgment of the school principal, a person intends to volunteer on a regular basis for the entire school year and they will have frequent and prolonged contact with students, the person must submit evidence that he/she is free of active tuberculosis. The person must provide the school site with a doctor’s certification that he/she was examined within the past 60 days and that he/she has tested negative for tuberculosis.
A negative TB certification is valid for four years. School personnel should attach the TB certification to the Volunteer Agreement/Authorization form. If the person must be fingerprinted due to the nature of their service as set forth above, Human Resources will process the TB clearance.
Volunteers who will not have frequent or prolonged contact with students:
All other volunteers may be exempted from the tuberculosis testing requirements if, in the judgment of the school principal, the person will not serve the entire school year and will not have frequent or prolonged contact with students.
